The primary purpose of the Spares Coordinator role is to ensure the day-to-day spare parts aftersales processes are followed to ensure customer satisfaction.

Main Responsibilities

  • Process customer enquiries and produce quotations through working with technical support and internal departments to build own product knowledge with an aim to be self-sufficient.
  • Process customer orders in terms of Sales Order generation, order acknowledgement, pick generation to stores, invoicing / credit notes and invoice / credit note queries.
  • Take phone calls / action emails from our customers, both internal and external, regarding our parts.
  • Raise purchase orders for insufficient stock.
  • Expedite purchase and sales orders.
  • Support with inventory audits to identify discrepancies, damaged parts, or obsolete items that need to be removed from stock.
  • Collaborating with other departments, such as customer service, Field Engineers, Finance and technical support to optimise spare parts management processes and improve efficiency.
  • Ensuring compliance with safety regulations and best practices for handling and storing spare parts.

Skills Required

  • Minimum of 5 GCSE grades C or above, or equivalent experience.
  • Minimum of 2 years’ experience working within a parts role.
  • Computer literate including Microsoft Office (Especially EXCEL)
  • Experience of using ERP/MRP systems.
  • Excellent written and verbal communication skills.
  • Attention to detail.
  • Confident communicator and able to deal with complex customer service activities.
  • Able to work accurately under pressure.
  • Advanced replacement experience.
  • Continuous improvement.
